Sourcing Surgical Lights from China: A Distributor's Due-Diligence Checklist
Importing surgical lights from China: certificates to verify, what to put in an RFQ, OEM, inspection, packing and after-sales support.

Importing surgical lights is not like importing generic goods. They are medical devices: your customers — and your regulator — will expect documentation, traceability and support. This checklist reflects the questions experienced distributors ask before placing a first order.
1. Verify the manufacturer, not just the trader
- Ask for the business licence and the medical device production licence of the manufacturing entity.
- Confirm the relationship between the factory and the export company. Keling, for example, operates Jiangsu Keling Medical Appliances Co., Ltd. (R&D and production) and Shanghai Keling International Trading Co., Ltd. (sales and export centre).
- Request a video or on-site audit of the production base, assembly and testing lines.
2. Check certificates — and read them
| Document | What to verify |
|---|---|
| ISO 13485 | Issuing body, scope includes surgical lights, validity date |
| CE (EU MDR) | Declaration of conformity, device classification, notified body if applicable |
| FDA registration | Establishment registration and device listing for the USA |
| Local registrations | SFDA (Saudi Arabia), EFDA (Ethiopia), national registries |
| Test reports | IEC 60601-1, IEC 60601-1-2 (EMC), IEC 60601-2-41 (surgical luminaires) |
Keling's certifications page lists ISO 13485 (SGS), CE, FDA registration, SFDA, EFDA and Uzbekistan registration — see About Keling.
3. Write a complete RFQ
A precise RFQ gets a precise quotation. Include:
- Model or the specification you need (illuminance, Ra, colour temperature, mounting).
- Quantity per model and expected annual volume.
- Power: voltage, frequency and plug type for your market (Keling LED models typically accept 100/110–240 V, 50/60 Hz).
- Ceiling height for ceiling-mounted lights (Keling: 270–320 cm).
- Documents required for import registration.
- Labelling language and user-manual language.
- Incoterm and destination port.
- OEM requirements: logo, colour, packaging.
You can send all of this in one step with our online RFQ form.
4. Samples and pre-shipment inspection
- Order a sample for clinical evaluation and registration testing where required.
- Agree an inspection protocol: illuminance at 1 m, colour temperature, Ra, function of every control, arm drift, castor brakes, battery switch-over.
- Use a third-party inspection company for large orders if your customer requires it.
5. Packing and logistics
Surgical lights combine heavy arms with delicate optics. Ask how lamp heads, arms and bases are packed (separate cartons, foam inserts, fumigation-free wooden cases for export), and request packing lists with gross/net weight and dimensions for freight quotation.
6. After-sales support
- Spare parts: LED boards, drivers, handles, bulbs (for halogen models), castors.
- Training: installation and maintenance training for your technicians — remote or on site.
- Warranty: confirm terms in writing in the proforma invoice.
7. Build a price ladder
Distributors win more tenders with a range: an economical hole-type light (e.g. KL05L-LED), a mid-range petal LED light (KL-LED-MSZ4), and a premium ceiling double dome (KL-LED-STZ4). Add examination lights such as the KL01L-IILED to complete the room.
